Tavelli PTO Board Meeting

Attendees: Christine Hendricks, Heather Reider, Brittany Ferrans, Sarah Schooley, Anna Wright, Corinne Deuel, Amanda Koncewicz 

Minutes

  • School Updates

    • Book Vending Machine

      • Ribbon Cutting was fun; students in Ms. Taft’s and Mrs. Bolton’s classes got to pick books

      • Need to decide on ways for kids to get books (probably birthdays) and how to fund refill

    • Battle of the Books was a success

    • Next year’s budget is based on projection of 456 students

      • Kinder will be three track and all other grades will have four classes

      • Decreased funding will mean decreased paras

    • CMAS starts in April 

      • PTO to provide snacks for students

    • Next year’s bell schedule is moved up 25 minutes to accommodate bussing

      • Staff worked together to create new daily schedule 

    • Look into creating bumper stickers and yard signs (“Proud Tavelli Tigers” themes) 

    • Would like to find someone to build a Little Free Library for the learning garden 

    • Yearbook cover designs are due March 22

      • Designs will be on display in the block the following week for voting

  • Tiger Trek Walk-a-thon - March 28

    • Fundraising Updates 

      • $6,500 raised as of the meeting time

      • Will continue sending updates to Jane for Thursday Note and Ms. Sparks for student morning announcements

      • Send visuals to Mr. Deakin for the TV displays 

      • Consider giving students reminder stickers

    • Business Sponsors 

      • Just over of $5000 from 17 donors 

    • T-shirts

      • Design Winner - 5th Grader Pax Neubert

      • Order has been placed with Burt’s 

        • Pax’s family purchasing five shirts

    • Donation Solicitations

      • About 20 businesses have donated gift cards, admission passes, etc for prizes

        • Need help picking up donations 

      • Add gold coins for book vending machine as a prize 

    • Volunteers are looking good for event day

      • Need help with setup and teardown 

    • Bubbles and bracelets have been purchased

    • Need to buy cuties and small water bottles the day before 

  • Book Fair - April 29-May 3

    • Family Night - Monday, April 29, 3:45-6 pm 

    • Reading Night 

      • Christine will talk to staff about hosting it the same time as the family buying night and what it will look like

      • Hours should correspond, so may need to alter buying timing

  • Staff Appreciation 

    • Corinne is spearheading our efforts

    • Going with a Spatastic/Island theme 

      • Contacting a massage therapist for pricing on chair massages

    • April 24: Administrative Assistants Day - Linda and Jane

    • May 6-10: Teacher Appreciation - 44 Licensed staff

    • May 6-10: Nurse Appreciation - Hillary and Sarah

    • Look into pricing for the various coffee trucks (minimums?) 

  • Summer Blast Off - May 28, 5-7 pm

    • Confirmed: Mac’n, Taco Truck, Brown Butter Coffee and Desserts, Kona Ice

    • Need to confirm Hot Dog cart

    • Consider incentives to get people to the PTO table, such as vouchers for Kona Ice or sell Tavelli yard signs 

    • Decide if we want live music or playlist using our new speakers 

  • SAC and DAB Updates from Amanda K and Christine

    • These are committees required by the state that help inform the school budget and Unified Improvement Plan 

    • Looking to formalize the committee with a handbook and onboarding for next year’s group 

      • 2 year commitment

      • Need a co-chair

      • Community member

    • The student connections survey has high results and the staff TCLL survey results will be released towards the end of the year.

  • Community/Fundraising Nights

    • Planter with Mother Gardener 

      • OK to host in the cafeteria because PTO is an approved support group through the district

      • Looking at mid-April and doing it as a $45 metal planter with seedlings

      • She can do registration on her website 

      • Some concern that we may not reach the minimum of 30 participants so considering what that could look like 

    • Urban Air and Crisp and Green - will schedule for the fall

    • Qdoba - schedule a second one for this year in late April because it is easy, close, affordable and a good money maker

  • Budget

    • Reimbursements given for Walkathon, Classified Lunch and Kindness Night supplies 

    • Mini Grants

      • Charter Bussing Update

        • CSU is the only “reasonably” priced alternative to PSD buses and the district won’t currently approve them because they are in negotiations to make CSU an approved vendor 

      • 4th Grade Social Studies Field Trip

        • Hoping to attend Greeley Living History Festival (what life was like in late 19th and early 20th century) in early May, but on a waitlist; would cost $700 

          • VOTED TO APPROVE this request if they get a spot

    • Next goal is the Media Center

      • Mr. Deakin would like to create a committee to decide on priorities 

      • Will be similar to the playground committee (students, parents, staff)

      • Christine will reach out to other schools that have recently done MC updates and get an idea on pricing; she’ll eventually assist with setting up the committee

  • Board Recruiting 

    • Secretary is open

    • Jane sent recruiting email for us, two responses

    • Consider childcare using a para to help bring in more people and/or consider different timing 

    • PTO could host a social/”get to know PTO” event with coffee or mocktails to give people an idea of who we are, what we do, why we need help, etc

    • Per bylaws, positions are up to two years; all current board members are ending year one of current positions 

  • Next Month 

    • Diversity, Equity and Inclusion Statement

    • Vote on 24-25 Board 

    • Propose Potential Bylaw Changes
