Meeting Minutes

Attendees: Heather Reider, Brittany Ferrans, Melissa Adams, Monica Smith and Katie Trodick 


Events

  • Supply Drop Off (8/14 2-3pm) 

    • Kona Ice for purchase 1:45-3:45 pm

      • Kona will be out back so put a sign in the front of the school for kids to see  

    • No table for PTO at this event as there is a tight schedule for parents/kids to get into classrooms in the middle of the day

 

  • Kindergarten Boohoo Breakfast (8/19 8:35-9 am)

    • We can host in the red pod 

    • Melissa and Brittany to coordinate

      • Starbucks coffee and bite sized pastries from King Soopers, plus napkins and PTO handouts

      • Create new handouts - definitely need them so try to work on them ASAP but not essential 

  • Back to School Night (8/22 4:30-6:30 pm)

    • PTO not planning anything for this

  • Movie Night 

    • 9/13 chosen as the best date for the event. 

    • Will have a PTO table to encourage more parent involvement.  

      • Will have forms for parents to fill out with name and email for newsletter and interest in commitment for smaller/specific projects.  

      • Raffle for two spirit gear items using filled out forms.

        • Katie - make form for parents to fill out.  

      • Small flyers with QR codes for King Soopers sign up 




  • Canvas Community Classic (9/27)

    • No t-shirts this year, will have it be every other.  Kids encouraged to wear any Tavelli t-shirts, especially the one from last year.  


King Soopers

  • No real changes in amount brought in even with increase of grocery costs

  • Will make a QR code for people to scan to sign up

  • Have QR code at Movie night with $25 raffle item for signup by Sept 20

Bookfair

  • May need to change the date, Monica had been contacted by teachers about moving it further away from Thanksgiving

  • Work on adding volunteers to help run the event. Will make flyer to encourage signups to put in newsletter/handouts.  

Spirit Gear

  • 10% back to PTO for purchases from Sept 1-30

  • Heather will finalize and coordinate printing of the flier and getting it into Thursday notes

  • Approved 6 items for sale with Spirit Gear.  

  • Make sure teachers know about spirit gear for sale.  

Letters to Teachers and Parents

  • Heather will create an email/letter to teachers that includes the events calendar, basics on how PTO supports them and an updated form for their favorite things

  • Also creating a similar letter for parents that will be put in back to school folders or distributed at Supply Drop Off

    • Include Spirit Gear, Directory, King Soopers Rewards, Movie Night, Yearbook and Meeting schedule 


Meeting Schedule

  • Try the change of meeting time to encourage participation.  

    • Will try the 1st Wednesday of the month from 8:30 to 9:45 am

      • Second Wednesday in January due to winter break 

    • September meeting will be an Open House

      • Coffee and Donuts with the Board, plus tour the school, preview the media center renovation design and mini meeting

  • No meeting in December 


24/25 Directory 

  • Melissa will update online form

  • Will include in the PTO letter for back to school folders plus get it into Thursday notes and create a half-sheet flyer for folder in mid-September

Budget 

  • Review last year’s numbers and update accordingly 

    • Monica will work on updating the budget with changes we expect this year and send to Board ASAP to approve

  • Should update monthly and bring to meetings 

  • Post Statement of Activities on the website

  • Brittany helping as assistant/Bank account access.  Card for Brittany has been received.   Monica will get card to Brittany
