Welcome and Introduction
Current board members shared name, position, how long they’ve been on PTO and kids/grades to introduce ourselves to attendees
Attendance - sign in sheet passed around and gathered emails for newsletters and volunteer opportunities
Committee Needs
Shared needs for different committees and what they entail
Book Fair Coordinators
Work with Monica to take over as book fair chair. The Book Fair chair would work with Scholastic for ordering and setting up volunteers to run the actual book fair.
Book fair twice a year, fall and spring BOGO.
Fall book fair will move to the last week in October or first week of November.
Staff Hospitality Assistants
Work with Corinne to help with staff appreciation
Includes things like back to school treats, holidays, classified staff appreciation week and teacher appreciation week, etc.
Walk-a-thon Assistants
Need help with monitoring donations, buying supplies, t-shirt design contest, corporate and prize donations, volunteers on the day-of, etc.
Office/In-School Projects
One-time project help at the school
Things like sorting Spirit Gear, flyers in mailboxes, sorting lost and found, updating $20 for 20 progress chart, etc.
Marketing/Fundraising
Any other special skills someone may have that could help the PTO
Forgot to mention, but needed: Garden Coordinator - Erin will be leaving Tavelli with her 5th grader after this year so she’s looking for someone to lead the volunteers, planting, etc. She can train and offer help this year.

Media Center Renovation Design
Phase 1 - PTO provided $25,000
Phase 1 will complete about 50% of the cost of project
Went with big impact items first
“Worm” seating bench
Shelves with reading nooks in between
Seating around fireplace
Book browser shelves open on the top for younger kids to more easily look for books
Blue/Grey colors chosen to have warm comfortable place for students
FIrst round of items ordered will be delivered on October 9th
Looking for volunteers October 7th (no school) for removal to make room for new items
Also Oct 10th (after school) to put items back on new shelves
Phase 2
Makerspace - Table and chairs
Will utilize the technology from the Mac Bus

Bylaws Updates- Went over changes discussed in previous meetings (noted below for changes): Approved unanimously
The following changes (in bold) are effective as of 9/4/24 and will be posted on the website
Article III: Officers
Section 1: Executive Board - The Executive Board shall consist of the following officers: President, Vice President, Secretary, Treasurer and Member-at-Large. Officer positions can be shared. The school Principal, or his/her designee, is a voting member of the Executive Board.
Section 2: Term of Office - The term of office for all officers is minimum one year, maximum two years per position. Term begins May 1st and ends April 30th.
Section 4: Duties - Member-at-Large: Perform and assist all other Board members as needed, as well as oversee community engagement and events.
Section 7: Vacancy - If a vacancy occurs on the Executive Board, the remaining officers shall appoint a PTO member to fill the vacancy for the remainder of the officer’s term, regardless of previous terms on the Executive Board.

Movie selection - After discussion down to three (noted in bold); will send out in the email newsletter for vote
Trolls Band Together
Available on Netflix, run time 1 hour 33 mins
Inside Out 2 - Noted not good for all ages
Despicable Me 4 - Noted as violent
Migration
Available on Netflix, run time 1 hour 23 mins

Popcorn provided by PTO will be sent out Thursday before the event
Communicate via Thursday note and sticker that it’s drug and alcohol free, and no pets or glass
Melissa will do an equipment test run before the start of the movie (Melissa’s projector and Heather’s borrowed screen, plus PTO’s 4 speakers)
PTO will offer Spirit Gear raffle for joining email list
Handouts with King Soopers instructions and QR code, plus new meeting times
Canvas Community Classic
9/27 - Poudre v Rocky at 7:30 pm
Promotion via Thursday Note for tickets and encourage kids to wear existing Tavelli shirts
Board will look for Ideas for shirts for Kindergarten/Pre-K as they haven't yet received any shirts
Spirit Gear
10% back to PTO for purchases from Sept 1-30

First Wednesday of the Month from 8:30-9:45 am in Tavelli open classroom or cafeteria depending on availability
Heather will connect with the office to reserve space for future meetings
No meeting in December and second Wednesday in January
Budget
Review
Generally $40,000 raised with $20 for 20, walk-a-thon and donations
Previous years before COVID $20,000 was an average raised
$11,000 with King Soopers, Qdoba etc.
Last year spent $84,000 including some leftover projects from the previous year
Changes in budget include:
Odyssey of the Mind - No longer offered so removed from budget
Mini Grants - increase budget
Mini grants are sent in by staff for specific needs. Examples from previous year includes: IS end of year celebrations, GPS trackers for Eco Week, Eclipse glasses, extra field trips
Teacher/Staff Appreciation - increase budget
Eco Week - increase budget because it costs more per student now
Classroom support - decrease budget - most accessed through mini grants
