Meeting Minutes

Attendees: Heather Reider, Melissa Adams, Katie Trodick, Elizabeth Westmoreland, Bea Wood, Anna Wright, Nikki Perez, Wynter Van Thorre, Kate Walker, Heather Nydahl, Kim Johnson, Laura Taggart, Aja Gregory, Shirley Woods and Christine Hendricks

Welcome and Introduction

  • Attendance sign in sheet passed around.  Attendees introduce themselves and grades of children attending Tavelli

Vote 

  • Last Month’s Minutes - passed around copies of last month's minutes.

    • Minutes from the September meeting voted on and approved unanimously

Events

  • Thank you

    • Movie Night 

      • Everyone is happy with the efficiency of setup and take down.  Big thank you to Melissa and family for making sure everything was working and went smoothly. 

      • Some feedback that kids were running around and not watching the movie. 

        • Possible ideas include adding a sitting-only area to keep playing kids out of the way; also consider a boundary for the projector and screen so they don’t get knocked over. 

    • Canvas Community Classic 

      • Great energy at the event.  Everyone had fun! Thanks to Mrs. Trybe, Mrs. Evans and Mrs. Gorman for helping our students in the parade.

    • Spirit Gear 

      • With one week left there were 52 orders/$300 profit to PTO. Met minimum order to receive profit. Full details weren’t available yet. 

    • Student Directory 

      • 221 Students opted in. Melissa finished entering all the data and will send out to families this week. 

  • Conferences 

    • Staff meal on Oct 10th.  Will order Qdoba and bring bw 3:00 and 3:30.

    • Conferences have been moved to two nights to include more “non-business” hour times for families to attend. 

  • Halloween Parties 

    • Donation of $20 per class to use as the teacher wants 

  • $20 for 20 in November

    • Donation challenge of $1 per kid per class. Biggest fundraiser for the first semester. Typically raises around $4000.

    • Pizza party for class with the highest donation amount and most student participants.  

    • Need creative marketing ideas

      • Focus on Thankfulness/Giving

      • Thank you notes from kids on why they are thankful for Tavelli

        • Work with Katie Robinson - art project to take home 11/21

        • Anna will make postcard for kids to decorate and include link to donation information

      • Thank you Thursdays

        • Social media with kids/class pics, quotes from kids etc.

        • Will have to be mindful of kids who have opted out of pictures

        • Kate will work with Christine on this

      • Kids with poster at Turkey Roundup

      • Look into the cost of fundraising platforms like Pledgestar to see if we can do texting, etc.  See if any have better rates. 

      • Consider corporate partnership that could match gifts

        • Melissa will work with Kim on this 

      • PTO thank you for the projects that have been completed.

      • Big meter/graph to show progress in school and include in the Thursday Note.

        • See if we can include something “visual” in the Thursday note. 

        • Add QR code to Thursday note - or some other direct link to access donations easier.  

  • Dining Fundraisers

    • Working on getting around one per month

    • Papa John’s on 10/24 - full details to come

    • Others - Penrose, Music City Hot Chicken, Modern Market, Newks, MOD Pizza, Qdoba (GroupRaise)

  • Yearbook

    • Have to pre order a specific amount and have a strict page count.   Feedback from last year is that we would like to add at least 2 pages more.  Final order must be completed by April.

    • Last year's numbers

      • $20/book

      • 173 ordered last year

      • About $7000 cost and raised about $4200 through orders and donations. PTO paid the balance to ensure every kid received a book.

      • Noted it was very special.  Kids really enjoyed getting a book and being able to take part in signing, so would like to try to provide a book for every student this year, too. 

    • Pre order/interest handout

      • Add options including

        • $25 for a year book

        • $25 for a year book plus a donation of $25 for a year book for another student

        • $25 for a year book plus $___ contribution for donation towards another student

        • Need a scholarship to get a yearbook

        • Do not want a yearbook

  • PTO Social 

    • Melissa collecting data on time and events people are most interested in.

Budget 

  • Review Current Numbers

    • Not much change compared to last month's budget. Conference dinners and first quarter annual contributions will be paid soon.

    • Questions about library phases. About half of the funding has been contributed by PTO.

      • Look for grants including Lowes and Otterbox.
