Tavelli PTO Meeting 11.6.24 – 8:30 am – Tavelli Room 18

Meeting Minutes

Attendees: Heather Reider, Melissa Adams, Katie Trodick, Monica Smith, Annabella Smith, Elizabeth Westmoreland, Wynter Van Thorre, Kate Walker, Kim Johnson, Leyla Badillo, Brittany Ferrans, Samantha Finke, Laura Taggart, Aja Gregory, Shirley Woods and Christine Hendricks

  • Welcome and Introduction

    • Attendance sign in sheet passed around.  Attendees introduced themselves and grades of children attending Tavelli

  • Vote on Last Month’s Minutes

    • Passed around copies of last month's minutes.

      • Minutes from the October meeting voted on and approved unanimously

  • Events/Projects

    • Spirit Gear - 151 items 

      • Exceeded minimum of 50 to receive partial profit

      • $460 in earnings

      • Most sales ever from Spirit Gear

    • $20 for 20

      • Kicked off last week.  

      • Goal set of $5000 

        • At 60% of goal as of 11/6

      • Anna made postcard for kids to decorate in Art Class first week of November 

        • Katie Robinson working with students in art class to fill out what students are thankful for.

        • Will start going home next week through the end of the month.  

      • Kate and Christine to work on social media Thank You Thursdays each week of the month

        • Setup instagram reels for most Thursdays

      • PTO thank you flyer to go home before break 

        • Leyla will create a PTO newsletter/highlight with Thank You for supporting us, QR code to website,  plus reminders about $20 for 20, yearbook, dining nights, corporate sponsorships, volunteer opportunities, book fair and AFW sales.

      • Melissa and Kim wrote a corporate sponsorship letter that went out mid-October

        • Received two $500 business sponsorships for Yearbook 

        • Received two $500 business sponsorships for Walk-a-thon

      • Brittany made vinyl banners with QR code for Lemay fence and pick up lane fence.

        • Will be able to be used for multiple years

        • QR code does not have analytics 

      • Large goal thermometer needs at least weekly updates

        • Could also do a graph of class vs. class 

        • Work with Mr. Deakin to put info on the computer monitors 

        • Have Linda/Ms. Sparks include it in the morning announcements that the kids read

        • Call out - Monica will make a call out to go out the week before break.

      • Book Fair - Dec. 2-6

        • Moved date as requested from teacher feedback

        • Items will be delivered before fall break.   Setup will be on 11/22 after school.

        • Students will be able to shop during computer lab specials

        • Family Shopping night will be 12/2, 3:15-6 pm

          • Monica will be district employee on site

        • Restock order Tuesday for rest of the week 

        • Only books will be available for sale during the school days, but pens, journals, etc. will be out during family shopping night.  

        • Will work with classroom teachers to make sure all students get a book. Will use Scholastic dollars earned during sales to give gift cards.  

        • Push for volunteers needed for book fair

          • Will send out signup genius 

    • Staff Holiday Gifts 

      • Budget -$2000 for 70 staff members

      • Corinne will lead with Melissa’s help, anyone else is welcome to help, too

        • Brittany, Elizabeth, Kate and Samantha offered to help 

      • Last year's gift was a gift card and small gift coffee/tea bundle. 

      • Staff Favorites are updated on the website 

        • Look at getting gift cards to match staff favorite places.

    • Dining Fundraisers

      • Papa Johns raised $284

      • Upcoming Fundraisers

        • Qdoba 11/21 4-8 pm - 25% back with QR code at the Magnolia location

        • Penrose 12/9 5-8 pm - 10% of all sales

    • Yearbook

      • Order/Interest forms went out end of October

        • About 70 Yearbook orders so far

        • 3 scholarship requests

        • 3 people said they were not interested

      • Some feedback that the QR code/website is confusing for purchase

        • Leyla will work with Melissa to make some changes to the website for clarification/ease of ordering

      • Will need to add pages for sponsors

      • May need to add a couple more pages compared to last year

        • Add more pages for specials

        • May use less candids

      • Can change the number of pages closer to end of the year if needed

      • Last years cost to purchase a yearbook for every student was a little less than $8000, and we raised about 60% of cost through donation orders

    • PTO Social

      • Scheduled for 12/3 6-8pm

      • No location chosen yet - looking into Persimmon

      • 8 people have RSVP’ed as of 11/6

      • No meeting in December 

    • Garden Committee

      •  Liz Boeck needs a helper/volunteers to keep the garden in top shape

        • Will need volunteers for watering, grants for seeds, cleanup etc.

        • Handed around signup sheet 

        • Add to newsletter for others to sign up 

      • Garden is used for many different activities throughout the school

        • Learning about planting, pollination, social/emotional support, and MAC Bus

        • Everything planted in the garden in edible

      • Will make a sign about letting the garden rest.  Good to leave over winter and do cleanup in the spring. 

      • Laura will send Ms. Boeck a book about community gardens. 

    • Turkey Round up

      • Scheduled for 11/21- PSD and Larimer food bank working together to gather turkeys for thanksgiving

    • American Educators week 11/18- 11/22

      • Looking into something small PTO can do for staff 

  • Budget

    • Mini Grant - Little Kids Rock

      • Request from Little Kids Rock for $1000 for a Para that helps out with practices after school.  Total of 22 hour-long practices.

        • Voted on and approved unanimously to approve mini grant

    • Update from Monica

      • Halloween party money and first payment to Linda for our running balance have been paid

      • Next payment will include Eco Week scholarships, Battle of the Books, etc. 

    • The 2023-24 Statement of Activities is now on the website  

  • Open Forum

    • Leyla would like to work on making a marketing committee and updating the website
