Meeting Minutes

Attendees: Heather Reider, Katie Trodick, Anna Wright, Wynter Van Thorre, Kate Walker, Leyla Badillo, Brittany Ferrans, Monica Smith,  Shirley Woods and Christine Hendricks

  • Welcome and Introduction

    • Attendance sign in sheet passed around

    • Vote on Last Meeting’s Minutes

      • Passed around copies of last month's minutes

      • Minutes from the November meeting voted on and approved unanimously

  • Events/Projects

    • $20 for 20

      • $6,000 raised!

      • Much more participation compared to previous years. Have typically raised $3,000-$4000.

      • 3 Prize pizza parties awarded for classes that raised the most/highest amount of participation

    • Bagel Day - Jan. 15

      • Bring bagels & donuts for the staff

      • Would like to have them delivered in the morning

      • Monica will work on calling about donations and also bring to school on 1/15

    • Walk-a-thon - March 27

      • Pledgestar Contract Signed for this year

      • Vote to get rid of bracelets and do tallies on the shirt instead

      • Need to push Corporate Sponsors again - Melissa to update letter and send to Jane for Thursday folders

      • Need Prize Coordinators 

        • Brittany and Wynter will send sponsorship requests

        • Kate & Katie offered to help get donations

      • T-shirts

        • Order shirts from Burt's Shirts - usual cost is $2000-3500 

        • White shirts for color run

        • Timing for Shirts

          • Heather will update flyer and get to Jane for folders, plus inform Ms. Robinson

          • Design from students due 2/21

          • Vote on designs week of 2/24

          • Winner announced 3/7

          • Will need a coordinator to put designs on poster board and display in the block with a ballot box and then take down at the end of the week and tally votes

      • Obstacle Course considered, but decided that it could need more supervision and lead to more injuries so nixed

      • Color Run decided

        • Color at the first corner for every couple of laps  

        • Spray chalk color from small bottles

        • Need to purchase 

      • PTO to provide oranges (purchase about 75% of total students because there were leftovers last year)

      • A case of small water bottles is nice, but make sure it is known they are only for kids who DO NOT have their own water bottle

      • Add additional information to PTO website

      • Will have a specific walk-a-thon meeting later this month

    • Kindness Night - February 24th

      • Mrs. Schooley is leading a group of students to host the event again this year

      • February is Kindness month. School does many things to help promote kindness, like writing notes to teachers/peers etc.

      • During the event, add a second room (art room) to help spread out the crowd 

      • Make crafts again; last year’s included rock painting and making friendship bracelets 

      • PTO to donate paint and see if any other supplies are needed (games, etc)

      • PTO to provide volunteers (create a sign up)

      • Timing still undecided, maybe 4-6pm? (was previously 5:30-6:30 pm)

    • Reading Night - this was fun, but doing it in early March during Read Across America is a lot of work right after Kindness Night

      • Consider doing it during the spring book fair instead

      • Need to work on timing/logistics 

      • PTO can provide juice and granola bar on the way out again 

      • Previous timing was 5:30-6:30 pm

    • Book Fair

      • Some growing pains with doing committee-run this fair

      • Work on growing the committee

      • Look at 5th graders possibly helping as cashiers

      • Spring fair will be the last week in April (4/28-5/2)

      • Scholarships for books

        • Look for new ways to help look for students in need of scholarships

        • Have Ms. Foreman add to form she sends; add yearbook, book fair, coat etc help

        • Do drawings for gift certificates so a variety of kids are getting them

        • Look for a way to help get teacher feedback for kids in need

        • Consider raising money from donations and explaining the power of having students choose their own book

          • Push the donation piece on e-Wallet?

    • Staff Holiday Gifts 

      • $20 gift cards given to every staff member (plus bus drivers and crossing guard); personalized to their favorites or Target if none provided 

      • Small Coffee/Tea for each staff member too

      • Was really appreciated by the staff

    • Classified Week - Feb. 10

      • PTO to provide a meal for all Classified employees to enjoy together

      • Change to breakfast because lunch is chaotic; ideal time around 8:30 am

      • Ms. Hendricks will work on help getting a good date for breakfast

    • Dining Fundraisers

      • 3 fall Fundraisers raised

        • Papa Johns - $284.58

        • Qdoba - $327.77

        • Penrose - $442.38

      • Continue to try to have one dining (or other community) fundraiser a month

      • Look at doing Penrose again possibly in late April/early May (no flyer needed, just a portion of all sales during the specific time) 

      • Look into Music City Hot Chicken or other options on the north side of town (Einsteins, Breckenridge Brewery)

      • Looking into Board and Brush PTO social/fundraiser

    • Other Fundraisers

      • Box Tops for Education is now an electronic program

      • Work on educating families on how to use

      • Consider adding an Amazon affiliate program for school supplies  

    • Yearbook

      • Need to consider pages for sponsors 

      • Order updates - Approx 200 orders placed so far

      • Heather to connect with Mrs. Merrill about cover design contest 

    • Directory

      • Second Round due 2/15

  • Budget

    • Monica gave an update with bank account and pending bills
