Tavelli PTO Meeting 2.5.25 – 8:30 am – Tavelli Room 18

Meeting Minutes: 

Welcome and Introduction 

  • Attendance sign in sheet passed around

    • Vote on Last Meeting’s Minutes 

    • Passed around copies of last month's minutes 

    • Minutes from the January meeting voted on and approved unanimously

  • Events/Projects 

    • Walk-a-thon - March 27 

      • Committee Meeting was held on 1/22 to discuss format (Color Run!), marketing, volunteers, etc. 

      • Kick Off - Thursday, Feb 27 

      • Morning announcement - Heather will write and send to 

      • Linda and Ms. Sparks for students to read 

      • Pledge packet sent home in folders 

      • Volunteer signups 

      • Already on PTO website 

      • Will send out in Thursday Notes 

      • Phone call - Elizabeth will record 

    • Corporate Sponsorships 

      • $2550 raised form 8 business - deadline for sponsorship 3/1 

    • T-shirt Design Contest runs through Feb 21 

      • Leyla purchased and decorated a ballot box that can be reused for all elections 

      • 45 submissions last year and already 20 turned in this year 

      • Kate to put designs on poster board weekend of Feb 22 and display week of Feb 24-28 

      • Katie to tally votes Feb 28 and get winner to Monica for shirt  order, Heather for morning announcement and Elizabeth for call out 

      • Winner announced March 7 via phone call (Elizabeth offered to record calls) and student morning announcement 

    • Prize Coordination 

      • Wynter and Brittany to send letters 

o   Purchasing

  • Heather will purchase colored powder, squeeze bottles and funnels ASAP 

  • Information from Elizabeth re: CLPM Color Run

  • 5 lb bags - 3 green, 3 orange, 3 blue, 2 pink and 2 purple with a decent amount leftover 

  • Heather and Melissa opted to do 20 lb bags of five colors since we have 100+ more students than CLPM and can save powder for future event if needed (was a better price in bulk) 

  • Cuties (400 or so) and water bottles (a couple cases of small bottles) closer to the event 

  • Final test of Pledgestar site 

o   Marketing

  • Leyla made a new banner for Color Run to be hung on Lemay fence 

  • PTO Spring Newsletter - corporate sponsors, t-shirt and yearbook design contests, Color Run details, Pledgestar tease, volunteer sign up 

  • ½ page reminder flyer/checklist the week before Spring Break 

  • Small circle stickers to go home with students on March 26

  • Leyla updated the website with all things Walk-a-thon 

  • Sponsor logos on website and Pledgestar site 

o   Kindness Night - Feb 24, 4:30-6:00 

  • Will be in the cafeteria 

  • No snacks this year as most people didn't take them and close to dinner 

  • Will need to help get some volunteers to help with event

  • Heather will make a signup genius and post it to the website

o   Classified Breakfast - Feb. 11 at 8:30 am 

  • Will setup in empty classroom

  • Bringing hot breakfast from Silver Grill and fruit tray 

  • Decorations setup the night before with balloons and flowers ○ Valentine’s Parties money distribution ($25 to each classroom and preschool) 

  • Heather will work with Monica for distribution 

o   Read Across America - March 2-6 

  • No literacy night since close Kindness Night

  • Heather will update Bingo card and send to Jane for folders

  • Need to purchase pencil/bookmark rewards

o   Dining Fundraiser Updates 

  • Qdoba - 2/27 4-8 pm

  • Penrose - trying to get dates end of April/early May

  • Board and Brush has social events with 20% donation of signup fees, must have 10 people to qualify. Can be done on Tuesday, Wednesday or Thursday

  • Boxtops have raised $32 in Jan up from $0.20 in December 

o   Yearbook 

  • Laura gave update

  • Teacher from every grade doing a collage 

  • Laura is helping with specials/walkathon pages 

  • 3 pages of ads/PTO 

  • March 3 - all photos due 

  • Christine to work with staff to make sure newer students pics added including preschool 

  • April 18 - draft due/May 15 - delivery

  • Work on ideas to have a little more organized signing 

  • About $5,500 collected between orders and sponsors so far

  • Approx cost was $7,500 last year 

  • Cover Design Contest 

    • Student designs need to be submitted by 3/28 with voting the following week 

    • Winner announced 4/11

    • Last year there were about 8 entries 

o   Directory 

  • Second Round due 2/15 

  • Melissa will update and send to opt-in families 

o   Summer Blast Off 

  • Begin contacting food trucks.

  • New district rules will need to be looked at for submitting additional info to the district (like insurance) 

  • Typically the Tuesday after Memorial Day

  • May look at doing on Wednesday to have more availability of food trucks 

o    Board Recruiting for 25/26

  • Positions typically run 2 years - Heather, Melissa, Brittany and Monica are on their second year, so President, VP, Member at Large and Treasurer are available

  • Descriptions of positions on website and Heather will send to meeting attendees

  • All interested parents are encouraged to ask questions and submit their names

  • Melissa and Heather would be fine to continue current roles or swap if there is no interest from others

o    Budget 

  • Mini Grants 

  • Staff Holiday Party - $500 offered 

  • Make sure we are being financially responsible and transparent with families because we have larger expenses this year and donations may be down 

  • Look into a high yield savings account or money market account

o    Open Forum

  • Eco Week questions about funding

  • PTO covers unpaid expense, which went from about $3,000 budgeted to more than $6,000 this year 

  • Various considerations are in discussion, for instance may have to tweak from 2 nights to 1 night, which would be $70 in savings per student 

  • Parents and students really love the benefit of 2 nights, so will look at all sources of funding in an attempt to keep things as they are

  • School funding 

  • School budget is determined by the number of students enrolled; spring projections determine staffing with adjustments made after the October count

  • Ms. Hendricks explained the importance of having students registered ASAP for the most accurate funding
