Meeting Minutes

School Update

  • Minutes on website and newsletter will be reviewed and/or approved by Christine before going live

  • Second semester is going well

    • 4th and 5th Graders went to the Yes! Concert field trip and loved it

  • Parent community events are a priority

    • Read Across America - parents will be asked to come in as guest readers during class and/or after school bedtime stories

    • PTO potentially provide cookies and milk for after school event

    • Do we want to do Reading Bingo and offer prizes?

  •   Math Nights

  • PTO Events are encouraged but need to be initiated by and need to be mindful of teachers’ contracted time

    • Movie and popcorn night

    • Game nights

    • Book fair - story night or literary themed night such as Harry Potter with a magician or Raptor Program

      • Discussed that it gets confusing to know which students get a free book, so Monica will create some kind of certificate

  • Fall Kickoff in 2023 (like Summer Blast Off) - food trucks, DJ, meet and greet with families, back to school drop off before the school year starts

    • PTO members feel that an event AFTER school starts would be most beneficial because more questions could be addressed, kids would know who is in their class to allow families to make connections, etc.

      • Allowing families to opt-in to a class roster at BTSN is desired by many

  • Family Fun Run combined with Summer Blast Off this year (more details below), but get back to the Family Run in fall 2023

  • Encourage parent volunteers again

  • MAC Bus this summer at Tavelli and Bull Run

    • Reading, Writing, Math, Tech and Craft

    • 9-11:30 am for kids going into 1st-4th grade

    • Need additional funding - $5,000-10,000 would make it free for students

    • Bus could also be used for tutoring

    • Registration can be for any number of days, doesn’t have to be a week

  • Information will be going home soon about devices available to families that need them after school

  • The district’s new reading program is being adopted at the end of the month for students to begin using next fall

    • Tavelli has a goal of 85% of our students being proficient at literacy

  • Smart Binders will be a priority again (why are we using them - goal setting and reflection, kids can showcase their work and progress)

  • Nature Center update will cost more than we originally thought (breeze, tables, more shade and tables on the playground)

    • Shirley may have a graphic for us to use for promotion

  • A traffic study was just completed; the city is helping fund the crossing guard and looking at things they can do but difficult because of our location

  • Staff Holiday Party was great! Teachers enjoyed themselves and were grateful that PTO covered Noodles. Staff also loved the Amazon gift cards.

Family Fun Run/Summer Blast Off

  • Duathlon permitting became too much/traffic control costs $1,500

  • Changing the format to be on campus only

  • 30-minute Fun Run to promote wellness

  • T-shirts are needed because Healthy Kids Club doesn’t do shirts anymore

    • Roughly $3,600 for the Walkathon shirts (500-600); similar number of t-shirts needed for Fun Run

    • Monica will ask Burt’s about printing Walkathon and Family Run at the same time for price break

  • Has been decided that we will combine the Fun Run and Blast Off this year

    • May 25th - confirm with the office that this date works

    • 5-5:30 pm running and then Food Trucks and music after

    • Mr. Daldegan will DJ

Teacher Mini Grant Request Form/Grade Level Wish List

  • Follow up with Erin about the form

  • We realized that our new staff members don’t know what we do, so we are going to create a handout with PTO and school events and ways that we support teachers and students (base it off the budget sheet, which needs to be cleaned up)

    • We can also use the cleaned up budget sheet to more easily update the PTO website with updated info on how/where/when we spend money so families have a better idea of how their donations support their students

  • Current Requests

    • Running Club would like two speakers

    • Daldegan - Bubble machine

    • Coffee Stop for Classified Week

    • Goodbye gift for Alexis (custodian)

  • Eco Week 2023-2024

    • Price is going up to $175 per student

    • PTO agreed to cover the difference as needed, so Monica will OK the updated pricing with Linda

  • Classified Appreciation Week

    • Staff is doing various things throughout the week

    • PTO will pay for Coffee Stop one day during the week

    • February 13-17

 

  • Walkathon

    • Date Confirmed – March 30, 2023

    • Heather will spearhead event but create a document with roles and needs and send to the group

      • Corporate Sponsor Coordinator   

        • Adrienne has offered to create a document for tracking and provided a sample letter

    • Prize Donation Coordinator

      • Heather has a list started with contact info

    • Volunteer Coordinator

      • Heather will work with Monica to set up in Raptor

    • Student t-shirt design competition

      • 2 color

      • Monica will coordinate

    • Kick Off Date - March 1 - handouts distributed to students to begin getting pledges

    • PledgeStar website is nearly updated for this year

    • PledgeStar has a corporate matching feature, as well as an App for phones now

Board Recruiting

  • Heather will send an email to Jane with specifics to send to families (based on documents in Drive and on the website)

  • Need committee members and Board positions

  • Meet you where you’re - all abilities are encouraged!

Other

  • Ask the district for dog poop bags to be on the playground/field

    • Linda submitted a request to the district

  • Website needs to be updated (especially event info for both past events and upcoming)

    • Someone check monthly

  • Yearbook

    • Laura Taggart has a friend in publishing and is going to ask about pricing

    • Christine will ask colleagues if Yearbooks are done at any other schools and whether they are allowed

  • Field Day

    • Mr. Deal coordinating all

    • May 4

    • 8-10 stations that the kids will rotate through

    • 4th/5th then K/1st and then 2nd/3rd

    • He will make an event in Raptor to get parent volunteers

    • Bounce Houses
