Meeting Minutes

School Update

  • Valentine's parties were fun and a great way to get parents in the classroom!

  • Two schools are visiting this spring as part of a state program for turnaround (low to high achieving)

  • Classified Week was nice. PTO provided the coffee truck and there was lunch, snacks, and mocktails coordinated by other staff.

  • Alexis, our wonderful custodian, is moving next week so interviews are underway for her replacement.

  • Next year's budget and staffing is being looked at now. Tavelli enrollment is down 40-50 students currently, but this is the case across the district.

  • CMAS testing for 3rd, 4th and 5th graders starts in April. PTO will provide snacks.

  • Registration for the MAC Bus will open after spring break. Ideally, it will be at Bull Run two days a week and Tavelli the other days. It can take 25 students per day and hours will be extended a bit compared to years past. 9-11:30 am for kids going into 1st-4th grade.

Mini Grants

  • Request form has been added to the PTO website

  • Kinder trip to the zoo on April 11 (busses) - approved

Read Across America

  • Spirit Week - Feb 27-March 3

  • Evening of Reading - March 2, 5:30-6:30 pm

    • PJs or comfy clothes and reading in the pods

    • Teachers/guest readers

    • PTO will provide cookies and juice for students on their way out the door

      • Consider asking parents to bring packaged snacks as a way to get more people involved/volunteer

    • Drawings for Book Fair Bucks every 10-15 minutes

  • Reading Bingo during the month of March and names will be drawn for Book Fair Bucks

Summer Blast Off/Fun Run

  • There was discussion that we would host both on the same day, but after more thought, it doesn’t make sense.

  • Summer Blast Off scheduled for Wednesday, May 24

  • Fun Run will be coordinated by Mr. Deal in the fall

  • Need to coordinate food trucks

    • Monica has reached out to Pie place, Taco truck (Don), hot dog, Chicken and Waffles

    • Want to ask Kona Ice, Woodfired Pizza, Gelato

  • Mr. Daldegan will DJ and then Little Kids Rock will perform

  • Ask Mr. Deakin if Dream Team wants to do Cream the Dream Team (pie throwing for $1)

Walkathon

  • March 30th during specials

  • Corporate sponsorship letter created by Melissa and sent via Jane to all parents

    • One $250 sponsor so far

  • Prizes donations are being solicited and collected now

    • Good assortment for prize drawings like Urban Air, Loveland Laser Tag, Denver Zoo, Walrus Ice Cream, etc.

    • Add Limo and Lunch with the Principal - winner gets a guest and a grownup

  • Pledgestar nearly set up, just need the official OK from district (has been approved)

    • Christine to follow up and let us know ASAP bc kickoff is March 1st

  • Volunteer sign up is created and will be sent via Jane in early March

  • Students will participate in a T-shirt design competition and votes will be put into ballot box

    • Monica will coordinate this and then get winning design to Burts

      • Burts said that there are price breaks for larger quantities if we ever want to order shirts for multiple events at once

  • Brittany, Erin and Christine are working to figure out how we can take photographs at the event that we can use on the website, etc.

Community Fundraisers

  • Urban Air and Chippers both offer community nights

  • Brittany secured May 3rd for Urban Air - 20% back

    • Funds will go toward Eco Week since price is going up to $175 per student

    • Need to let 5th Grade teachers know about this fundraiser so they can let 4th grade students know at their April 21st meeting

  • Consider Chippers for the fall

Survey Results

  • Survey sent in multiple Thursday notes and at the bottom of the recruiting email sent by Jane; also linked on the PTO website

  • 5 responses as of the meeting

  • Biggest feedback is that people feel that they need more opportunity to help

  • We should consider changing day of the week, possibly timing or childcare options for future meetings

  • Want to make a PTO table at events a priority so we can build our email list

    • First newsletter using the new website system was sent in early February

Board Recruiting

  • Jane sent email with available positions to all families

  • Have had 6 or 7 responses - mostly general members

    • One attended February meeting, so consider reaching out with specifics so they will come to March meeting

  • All abilities are encouraged!

  • President, VP, Treasurer and Teacher Hospitality Chair have candidates, Secretary can be filled if no new people step forward

  • All candidates should be identified by March so we can create a “ballot” and vote at the April meeting

    • All meeting attendees will vote

Dog Waste Stations

  • PTO will pay for them ($500 total)

  • Two stations were placed on either side of the field

    • One needs to be moved; Christine will make request (done)

 Student Directory

  • PTO can sponsor a directory to collect student phone numbers/email addresses through opt-in

  • Use Google Forms

  • Create flyer to be sent home in weekly folder, via email and in Thursday note

Other

  • Website updates - check monthly

  • Yearbook

    • Laura found neat, inexpensive options for each student to personalize

    • She will work with Christine to figure out if we can do this considering photo releases

  • Ask Jane/district if notes/letters can be in the body of an email rather than a link to open the note (done)

  • Create a yearly calendar of events on the PTO website
